Summary:

Midwest Ear Institute is a private otology/neurotology/audiology practice offering complete care for ears, hearing, and balance. We are seeking an individual to work alongside our experienced, patient focused team to oversee all administrative functions of the practice including personnel management, provider scheduling, finances, and more.

Our professional team is led by Dr. Vincent Ostrowski, a double board-certified otologist/neurotologist and recognized “Top Doc” with extensive clinical experience and exceptional patient performance feedback.

Qualifications• Bachelor’s or Masters degree preferred, with emphasis in business administration, healthcare administration, and/or accounting• 5 or more years of progressively responsible experience in a physician office, business office, or other medical practice/facility is required• Must possess strong skills in accounting software usage and Microsoft Excel• Knowledge of accounting including daily ledger postings and bank reconciliations, balance sheets and income statements.• Strong communication skills required. Must be able to assess, prioritize, and delegate tasks, provider clear directions and leadership, and provide excellent customer service.

Essential Position Functions:

Personnel Management & HR:• Supervise and coordinate the activities of the practice personnel including front office staff, billing staff, in-house transcriptionist, and provider team• Organize and assign duties to employees relating to front office, back office, collections, insurance claim filing, transcription, medical records, appointment scheduling, answering the telephone, assisting the providers in the office, and all other duties involved to provide efficient operation of the practice.• Monitor performance of practice personnel to ensure that assigned duties are completed in a timely fashion consistent with practice standards of accuracy and patient care.• Recruit, interview, hire, train, discipline, and terminate employees.• Review and approve time and attendance records for all employees. Approve sick and emergency leave in accordance with practice policy. Schedule vacations according to practice policy and current needs. Procure coverage for absent employees as needed.• Prepare the practice payroll and enter data into HR co-employer system on a bi-weekly basis.

Financial Management & Strategy:• Care for all accounting related needs to ensure timely payment of all invoices, preparation of financial statements, accounts receivable monitoring, bank reconciliations, general ledger, etc.• Deposit all incoming cash and checks to bank weekly• Prepare monthly financial reports for review by President• Work with the practice accounting firm and legal counsel as necessary• Manage and monitor practice cash flow, credit card expenses, supply ordering, etc.• Analyze and negotiate vendor contracts. Secure competitive bids for supplies and equipment• Work with President and provider team to develop strategic long-range plans to support the practice philosophy and goals

Technology & Systems:• Oversee the implementation and maintenance of financial and electronic medical records systems• Work with an external IT service provider to manage information technology and computer systems for the practice• Leverage technology to improve operational efficiency and accuracy in financial reporting, budgeting, and compliance.• Coordinate scheduling changes for providers within EMR system• Update forms within EMR system to align with coding changes, internal policy changes, etc.

Healthcare Compliance & Contracting• Review and evaluate managed care organization contracts to ensure financial benefit ofparticipation• Ensure compliance with all regulatory agencies governing health care delivery• Maintain provider and practice licensing and online profiles as required per insurance, hospital,and medical board contracts

Marketing & PR• Work with provider team to create and implement marketing campaigns for hearing aids,cochlear implants, medical services, etc.• Create marketing copy for practice including business cards, provider handouts, patient openhouse letters, etc.• Oversee monthly provider meetings to discuss marketing initiatives, review hearing aid sales for month, strategize for short

Other• Maintain professional affiliations and participate in professional development activities.• All other duties as assigned by the President
